      1. Village Fair: initial review of the registration data indicates there were:
        1. 222 people registered
        2. 33  were non-members
        3. 26  were children
        4. 75 paid feast reservations plus 8 comp's according to my data, which only includes royalty (King, Prince) and Baron/esses
      2. Great job everyone. The event went well, no one noticed the hiccups that  happened. Everyone appears to have had a good time. 
        1. Question about what the hiccups were and how we fix them in the future. 
          1. People can address these of their own accord via seneschal
        2. David Archer: 
          1. People heard that Hexi got called up on court and that was an accident on the part of David with a card. 
          2. NCR forms need to be there, more than we think we should have. 
          3. Kitchen Cleanup was on the bid, but something came up, but we had people that stepped up to help.
          4. He will be talking to some people about a few of the problems we had, so we can fix things in the future. 
            1. Is there a committee or some other way that this gets covered
              1. Ilene: Offered the idea about going over Cathy’s event guide
                1. Add a line for each event person to sign saying they have read the guide and have read and know their area to cover. 
              2. Gavin: Add a required kitchen clean-up/staff clean-up area to the bid form.  
              3. Add to agenda for the next business meeting: We need to add a committee for the events and staff. 
              4. Some of the policies at Kiwanis have changed
                1. At 10 PM the gate is closed and locked. A code is needed to get on the grounds. We can get on later, but we need to let them before the event. 
                2. Cracking down on when we can come in and when we can leave. 
                3. Screened room storage room has enough blue tarps to cover the whole hall. We can use these to tarp the entire feast hall without buying the normal closure things we use. 
                4. They are looking into buying a heater of some kind for “winter” events. 
                5. They will also start the fire for us on Friday mornings before we arrive. 
      3. Events are scheduled for Trident Tourney Jan 24th -26th, Clans May 8th-10th and Village Fair on Sept 25th-27th. We still need bids on Village Fair for next year. Trident is taken care of. 
        1. Send the demos to the Kingdom Webminster/Calendar Deputy/Chronicler to get them on the calendar. 
      4. Revisit vote on Financial policy
        1. Officers, please re-read the financial policy and let Hexi know that we can either leave as is or that we need to discuss it and re-vote to it after changes are discussed and made.

      1.    Regarding Camp Kiwanis rental:
        1. attendance has been consistently high enough to need all the spaces.
        2. Exchequer suggests renting all the buildings at every event.
        3. Exchequer suggests using Apt. G for Prince and Princess and their staff; Apt M for King and Queen and their staff; Using Infirmary for Baron and Baroness and their staff; using the East (Exchequer or Music) cabin for out of town guests or the Exchequer and her staff (esp. registration).  Note: the only non-paying persons are the Royalty and Baron/esses. The staff still pays the cabin fee.
          1. Hextilda crunched some numbers and sees the cost at 1300 dollars, but we only make 700 dollars from the beds alone. 
            1. If we use the cabins we normally use, including the infirmary: This would cost us about 50 dollars more per event. 
          2. Ilene: Based on our usage over the last several years, we don’t need all of the space. We continue with the same dorms as usual, the infirmary, and then we rent 1 apartment for the royals. This has always been used and should not be/nor needs to be changed. 
          3. Let’s look at the cabins on an event to event basis, as has been as normal.

The Kitchen staff has requested a purchase of an additional set of flat rectangular serving dishes in order to mitigate the need for washing between courses.  "Motion to allow the Exchequer to spend up to $250 to purchase additional flat serving dishes, after being advised by Baron Gavin and other Darkwater Feast Stewards."
      4. Village Fair attendance has been given to both the Seneschal and Event Steward for their reports.  The financial report for Village Fair awaits the pleasure of the Epay deputy and those who should turn in receipts for their activities. Nudge, nudge, wink, wink.
      5. The budget for 2020 will be presented at the December officers meeting.  Please feel free to contact the Exchequer during November to discuss your office's needs and expectations.

From The Coronets - October 2019

Hail and well met, oh beloved Barony of Darkwater

We've recently gotten back from Village Faire and it was so very, very, needed. With Crown Lyst having been our last event, it has been many months since we were able to spend time with our chosen family.

Instead of going through the usual routine of thank-yous, we're actually going to ask for your help for a moment - think back to the event and someone you saw working which impressed, inspired, or just plain helped you. Take a moment and go thank them - no event runs perfectly and many people end up learning their jobs at an event in a sort of "trial by fire" moment. Take the time to reach out and thank at least one person for the work they did. If you feel they've been missed for an award, go ahead and send that too - but a ton of folks have hit the point where there aren't many awards left, if any, and often a personal thank-you goes a lot further.

The subject of friends groups, what could be uncharitably called cliques, has been often on my mind of late. To be clear, I don't wholly think we're at the point of having various cliques - people want to hang out with their friends and there is nothing wrong with that. Care should be given, in any case, to how the social dynamics of our barony is handled - and especially with polling occurring next year. Again, people get to spend their time and their weekend with who they want; but we would always ask our Baronial family members to consider what choices they make "as a group" as opposed to their individual choices. 

If nothing else, remember this - we're all here for the same reasons, even if we approach it different. We love the Dream which we find here. As we often say on the lyst field - be exacting of yourself, but generous to others.

Article: Self Care & the SCA

Self care and the SCA:

Due to the volunteer nature of our organization, there’s always a trend for volunteers to over-do it. We’re excellent at looking out for our friends’ well-being and health but very often we let our own slip. In Trimaris, this is often heat related but the concept of self-care, particularly for volunteers and event staff, is something that can slip your mind. In some cases, people become so dedicated to the idea of their service or whatever concept they are working on, they are willing to forego their own self-care to “be responsible.”

If we plan to keep volunteering and plan to keep our volunteers in good shape and coming back, we need to be aware of some self-care necessities.

1) Make time for yourself to have regular meals at events.
Even if you’re the autocrat, the nobility, or the busiest reservations steward ever. Keeping your body fueled is Important not only for your health but also to keep you energetic and sharp. When we are hungry, we don’t think clearly or quickly. We react more sharply and emotionally. We lose problem solving skills.
Tip: If you’re the sort of person that forgets to eat when busy, assign a friend to run lunch over to you as you work.

2) Hydrate
Much like the above, this one is critical for events themselves. Even for kingdoms not dealing with extreme heat, dry air and lots of activity can make you dehydrated very quickly. Again, this also can affect your ability to think and problem solve.

3) Get sleep.
You don’t need to do a 12 hour marathon but plan ahead to get at least 6 to 8 hours so you are functional for the big events of the day. Again, a lack of sleep can inhibit thinking and cause us to react more negatively than we intend.

4) Take a short break.
Have a backup person to cover while you sit down for fifteen minutes. Go into the AC and cool off (or the heat and warm up). Be willing to realize that you need a momentary breather and then take it. The more stress you pile onto your brain for an extended period will again affect your ability to deal with problems.

5) Have backup plans
This is a planning piece that ties into self-care as having a solid “what-if” plan for your event can save you a lot of time and stress on the day-of. While you can’t plan for every contingency, have some backup folks ready to go for volunteer needs and last minute issues.

6) Be kind to yourself – mistakes happen
Most people won’t notice and if they do, they happen. Forgive yourself, make up for it as you can, let it go, tell a friend and vent, and then move on to having a great day.

7) If you are actually sick or injured – DON’T DO IT.
Commitment to your job, your position, your practice, your whatever is not worth injuring yourself further, making yourself sicker (or spreading germs), or straining yourself. That’s not commitment and responsibility or dedication – it’s injurious. It’s better to find someone to take on the responsibility and get your rest (don’t just drop the ball!) or to take the night off than it is to push yourself so far that you cause greater injury. As volunteers in the SCA this is one of the biggest issues I see. Real life – and your health and well-being – ALWAYS comes first. Running a fever or too exhausted to safely drive? Don’t go to the meeting. Been fighting a serious cough for a week that the weather won’t help? Get a friend to help cover event duties and take it easy. Take care of yourself first – so that you can take care of others when you are able.

Open Meeting

v)    Requirements of any meeting that is held in the canton’s name:
(1)  Either Seneschal HL David Archer, HL Hextilda Marshall, Mistress Ilene Johnnestoune, or HL Calpurnia Fortunata have to be in attendance for any meeting.
(2)  David can make a temp deputy for the meeting if one of the above cannot attend.

Greetings unto All Kingdom Seneschals,
I have been directed to provide the following guidance on the reporting of Sex Offenders discovered to be participating in the SCA. Please use this Procedure.
Please pass this on to Local Group Seneschals.
SEX OFFENDER REPORTING PROCEDURE
If someone discovers a person in the SCA is on a sex offender registry, they are to contact the Kingdom Seneschal. The Kingdom Seneschal will contact the Society Seneschal and forward all relevant information about the matter.
A preliminary determination of the danger this person poses to the Society and its members will be made. If the danger is immediate, the Society Seneschal will expel that person immediately. Expulsion by a Kingdom will not be necessary in these circumstances.
An SCA Investigator will obtain the Court Records to view the nature of the crime, the penalty imposed and conduct interviews, where appropriate, and to gather information and records.
The matter will be presented at the next Board meeting to make a final determination and take any appropriate action in the matter.
